Terms of Service

1. Acceptance

By creating a Grove account, you agree to these terms. If you are subscribing on behalf of a medical practice or organisation, you represent that you have the authority to bind that entity.

2. The Service

Grove provides practice management software for independent healthcare practitioners. This includes scheduling, patient records, test results management, billing, secure messaging, and related features ("the Service").

We reserve the right to modify or discontinue features with reasonable notice. Material changes to these terms will be communicated by email.

3. Accounts

You are responsible for maintaining the security of your account credentials. You must notify us immediately at hello@getgrovemd.com if you suspect unauthorised access. We are not liable for losses from unauthorised use of your account.

You agree to use Grove only for lawful healthcare practice management purposes. You must not:

5. Patient Data and HIPAA/PIPEDA

You are responsible for ensuring your use of Grove complies with applicable healthcare privacy laws in your jurisdiction. A Business Associate Agreement (BAA) is provided at signup and forms part of these terms for HIPAA-covered entities.

Patient data entered into Grove remains yours. We process it only as directed by you and as described in our Privacy Policy. We do not share, sell, or use patient data for any purpose other than providing the Service.

6. Payment and Billing

Paid plans are billed monthly or annually as selected. Payments are processed by Stripe. All prices are in the currency of your selected region (CAD, USD, GBP, or AUD).

Free trials: paid plans include a 14-day free trial. No charge is made until the trial ends. You may cancel before the trial ends with no charge.

Founding Partner rate: Founding Partners who lock in their rate are guaranteed that rate for the life of their subscription, provided they maintain continuous payment without lapsing.

Refunds: Monthly plans may be cancelled at any time with effect at the next billing date. Annual plans cancelled mid-year are not refunded for remaining months, except where required by applicable consumer protection law.

7. Data Export and Portability

You may export your data in CSV format at any time from your dashboard. Upon cancellation, your data remains accessible for 90 days for export purposes, then is permanently deleted.

8. Uptime and Service Levels

We target 99.9% uptime excluding scheduled maintenance. Scheduled maintenance will be communicated in advance. We do not guarantee specific uptime for free plan accounts.

9. Limitation of Liability

To the maximum extent permitted by law, Grove's liability to you is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for indirect, consequential, or punitive damages.

Important: Grove is a software tool for practice administration. It does not provide medical advice. Clinical decisions remain the responsibility of the licensed practitioner.

10. Governing Law

These terms are governed by the laws of British Columbia, Canada. Disputes shall be resolved in the courts of British Columbia unless you are located in a jurisdiction with mandatory local consumer protections.
